Supply Chain Policy

Purpose

The purpose of this Policy document is to ensure effective management and standardization of Supply Chain activities to achieve accountability, equity, and access for optimal performance of the Company and satisfaction of the customer.

Policy Statement

The KCB Group Plc shall ensure effective and efficient management of supply chain processes to positively impact the business while ensuring accountability, ethics, transparency, equity and in compliance with relevant internal policies and applicable laws.

Scope

The policy guidelines contained in this Policy document cover the whole Supply Chain Cycle from initiation through to contract completion. The document also includes policy guidelines for disposal of KCB Group Plc assets. The policy covers and outlines the framework for coordinating and streamlining the procurement function at the Group and Subsidiary levels.

Audience

This policy applies to the entire KCB Group Plc and must be adhered to by all staff and management. The Board, Management and all business and support functions and all Branches of KCB Operating entities shall adhere to the guidelines provided in this policy.

Key Principles/ Policies

1. Accountability:KCB Group Management shall be accountable for their decisions and actions relative to the Supply Chain responsibilities, policies and processes bestowed upon them.

2. Access:All vendors/suppliers interested in doing business with KCB Group Plc shall be granted access to supply chain opportunities fairly and without discrimination.

3. Ethics, Transparency & Integrity:KCB Group Plc shall ensure that in conducting Supply Chain activities, professionalism, reasonableness, integrity must be observed at all times and all interests shall be disclosed and any breach shall be reported. Supply Chain Management shall be in line with best practice principles.

4. EquityKCB Group Plc shall promote equality and strive to ensure equal opportunity for all through its supply chain processes and practices.

5. StandardizationKCB Group Plc shall strive to standardize and simplify Supply Chain activities where appropriate to enhance effectiveness and efficiency at the Group and across the subsidiaries.

6. Optimal PerformanceKCB Group Plc shall ensure value for money is achieved through the optimum combination of cost and quality while maximizing efficiency, effectiveness and flexibility.

7. Regulatory ComplianceIn applying and implementing this policy, KCB Group Plc shall equally comply with the relevant regulations and guidelines regarding Supply Chain and/or use of providers for goods, services and works as shall be issued from time to time by the regulators in KCB Group Plc countries of operation.

8. Data ProtectionIn order to protect the privacy of KCB Group customers, employees, vendors, third parties or other stakeholders, the operationalization of this Policy shall be done in a manner that ensures compliance with data protection principles.

Sourcing and Supplier Selection

KCB Group Plc shall follow established bidding, solicitation, evaluation (due diligence) negotiations, contract award procedures to ensure that sourcing and supplier selection is carried out optimally in terms of KCB Group Plc’s supply chain needs. The sourcing process should identify the suppliers’ competence, reliability, responsibility, resources and competitive price of the delivery.

Contracting & Contract Management

KCB Group Plc shall not engage providers to commence supply of goods, provision of services or execution of works without a signed contract and Purchase order. This is aimed at ensuring that there is a binding legal relationship between KCB Group Plc and the vendors that clearly spells out the obligations of either party.

Supplier Relationship Management

KCB Group Plc shall strategically plan for, and manage, all interactions with providers that supply goods and/or services and works, in order to establish joint and mutually beneficial relationships and maximize the value of those interactions.

Special Interest Groups

KCB Group Plc shall allocate preference point/s formula in certain categories of its Supply Chain requirements to support the youth, women, persons living with disability (PLWDs) and strategic SMEs.

Collaborative Supplier Partnership Development (CSPD)

KCB Group Plc in circumstances of criticality and value shall pursue Supplier Partnership Development by establishing bilateral relations with potential and existing supplying organizations, firm or companies; in order to jointly upscale the suppliers’ capabilities. This shall include identification of strategic partners for inclusion in the supplier partnership development program with an aim of jointly improving the supplier’s performance and/or capabilities on cost, quality, delivery, time to market time, technology, environmental responsibility, managerial capability and financial viability.

Supply Chain Risk Management

KCB Group Plc shall integrate effective risk management in its supply chain operations by putting in place appropriate measures that detect and prevent supply chain’s risks through monitoring and controlling supply chain’s operational activities. The objective is to proactively identify, assess, measure and treat all existing and emerging supply chain management risks in line with the organizational risk appetite.

Sustainable Supply Chain Management

KCB Group Plc shall aim to promote and seek alignment with all its suppliers on sustainability related issues and performance. Supply chain shall actively seek to advance the implementation of KCB Group sustainability agenda action plans in its activities as defined in the KCB Group PLC Sustainability Policy.

This is aimed at building valued relationships with users, suppliers and other stakeholders while managing social & environmental impacts of supply chain operations.
